Atlas payment reminders

Automated payment reminders, timed to the person who pays.

Atlas sends reminders by email, text and voice on the cadence you set for each channel, inside each contact's hours. Every message is written from the account's whole record, lists the right invoices with the right amounts, and is checked by code before it goes.

A live view of personalized follow-up over one week: three customers, each reached on the channel they prefer, at the time they usually respond, in a tone set from their history, inside contact hours and only on channels with consent. Illustrative data · seeded, plays the same every time

When and how

AR follow up on the channel each contact actually answers.

01

Per-channel cadence

How often each channel may be used, at most, and from which day. Atlas builds the sequence from it, one touch a day at most.

02

Due at 10am, their time

Each step is due at 10am in the customer's own time zone, not yours.

03

Contact hours

Each agent has its hours. Calls and texts never go outside 8am to 9pm local, whatever the agent's hours say.

04

Tone per agent

Friendly before the due date, direct around a promise, firm in collections, formal on disputes.

05

Personal timing

When a contact opens email, replies to texts or picks up calls shapes the time and channel of the next touch.

Written from the record

Invoice reminder software that knows what the customer already said.

Each reminder loads the account's invoices, payments, promises, disputes and past conversations. The model drafts from that and the agent's instructions; code then checks every invoice number and dollar figure, the AI disclosure and the opt-out before anything is sent.

No wrong numbers
A draft that names an invoice or amount the record does not hold is not sent.
A safe fallback
If a draft fails twice, the agent's fixed template goes instead, and the reason is recorded.

What runs without anyone

Atlas does the work. You decide what waits.

Payment reminder software only works if it never misses a day. Atlas sends on its own; you choose what waits.

Atlas runs on its own. You flag any step for review, and flagged work waits in the Approval Queue for an Approver, Admin or Owner. Charge-off and legal waits for a person on every step.

FAQ

Payment reminders, run end to end.

How does Atlas decide when to send a payment reminder?

Atlas builds each account's sequence from the cadence you set per channel: how often email, text and voice may be used and from which day. Each step is due at 10am in the customer's own time zone, inside the agent's contact hours, with at most one touch per customer per day across every agent.

Can Atlas send payment reminders by text and phone, not just email?

Yes. Atlas sends reminders by email, text and voice. Texts and calls go only to numbers with consent on file and only between 8am and 9pm in the customer's time zone, and every one says it comes from an AI assistant. Replying STOP, or asking not to be called, ends that channel at once.

Are the reminders personalized or a fixed template?

Each Atlas reminder is drafted from the account's whole record: its open invoices, payments, promises, disputes and earlier conversations, in the tone of the agent working it. Timing and channel follow how each contact responds. Code checks every invoice number and dollar figure before sending, and if a draft fails twice the agent's fixed template is sent instead, with the reason recorded.

Will a reminder ever reveal invoice details to the wrong person?

Atlas does not disclose invoice numbers, amounts, dates or status until the customer is verified. Texts and emails carry a secure link where the customer verifies before seeing the detail, and calls verify before any balance is discussed. Verification is set per company and on by default for new companies.

Can we review reminders before they go out?

Yes, for any step you choose. Atlas sends on its own by default, and a step flagged for review waits in the Approval Queue with its exact draft. Released, that draft is sent as written.

What happens when a customer replies to a reminder?

Atlas reads the reply and acts on it. A promise to pay moves the account to the Promise to pay agent and pauses other channels until the date; a dispute moves it to Dispute & deductions; a request for a person hands it to your team. A payment in full ends the follow-up.

See payment reminders work on your own receivables.

Thirty minutes on your own aging report. You leave with a view of how Atlas would work it, and an honest answer if the sequencing is wrong and you should fix something else first.

Your credit policy, terms, tone and escalation rules are your advantage, and they stay yours. Atlas is configured to the way you run receivables. You are not handing over a playbook or fitting into a template.
