Atlas disputes

Dispute management software that answers with the evidence.

Most disputes are settled by a document someone already has: the purchase order, the proof of delivery, the customer's own confirmation of the price. Atlas finds it, attaches it and sends the answer, so a dispute becomes a same-week resolution instead of an aging invoice.

A live view of a price dispute resolved with no one touching it: the customer's email arrives, the agent reads the order, the invoice and the email history, finds the customer's own confirmation of the price, sends the reply with the evidence attached, and closes and logs the dispute. How a dispute runs

Acknowledged the same day, resolved with the proof.

  1. 01

    Acknowledge

The customer hears back the same day that the dispute is logged and being worked.

  2. 02

    Gather

Atlas pulls the purchase order, the invoice, the proof of delivery and the customer's own emails about the order.

  3. 03

    Decide

It drafts a rebuttal with the evidence, or a credit memo when the customer is right, within the credit limits you set.

  4. 04

    Resolve

The resolution goes to the customer, the credit memo or rebuttal is recorded, and the account returns to normal follow-up.

The customer's own words

When the customer disputes a price, Atlas finds where they agreed to it.

A customer writes that they were billed the wrong price for an order. Atlas searches the email history on the account, finds the customer's own confirmation of that order and price, and replies with the details, with no one touching it. The live view above plays it through, step by step.

Deductions

Short payments open a deduction, not a mystery.

Atlas works as deduction management software inside cash application. When a payment comes in short, the gap becomes a deduction on the account with a reason to resolve, including retailer chargebacks for promotions, shortages and compliance fines.

01

Opened on arrival

A short payment opens a deduction the moment the payment is applied, tied to the invoices it touched.

02

Reason found

Remittance notes, the customer's portal records and the delivery documents are read for the reason.

03

Valid or not

A valid deduction becomes a credit memo. An invalid one gets a rebuttal with the proof, and the balance stays open.

04

Tracked to close

Every deduction carries its own status, so nothing sits unreconciled in unapplied cash.

What runs without anyone

Atlas does the work. You decide what waits.

Dispute & deductions runs on its own by default. Credits over $5,000 wait for a person, and you can flag any other step.

Atlas runs on its own. You flag any step for review, and flagged work waits in the Approval Queue for an Approver, Admin or Owner. Charge-off and legal waits for a person on every step.

On its own

  • Acknowledges every dispute the same day
  • Gathers the PO, invoice, proof of delivery and email history
  • Sends rebuttals with the evidence attached
  • Opens a deduction for every short payment

Waits for a person

  • Credit memos over $5,000, by default
  • Credits above the limits you give the agent
  • A customer's legal team getting involved

FAQ

Disputes and deductions, run end to end.

How does Atlas handle a customer dispute from start to finish?

Atlas acknowledges the dispute the same day, gathers the purchase order, invoice, proof of delivery and the customer's emails, then sends a rebuttal with the evidence or drafts a credit memo when the customer is right. The resolution is recorded on the account and normal follow-up resumes.

Can Atlas use our email history as evidence?

Yes. When a customer disputes an order or a price, Atlas looks through the email history on the account for the customer's own confirmation and quotes it in the reply, with the related documents attached.

How does Atlas handle deductions and retailer chargebacks?

A short payment opens a deduction as soon as the payment is applied. Atlas reads remittance notes, delivery records and the customer's portal for the reason, issues a credit memo for a valid deduction and a rebuttal with proof for an invalid one.

Who approves credit memos?

Credit memos over $5,000 wait for an Approver, Admin or Owner by default, and you can change the threshold or flag every credit. Smaller credits within the agent's limits are issued on their own and recorded with the evidence.

Does a disputed invoice keep getting collection reminders?

No. A dispute moves the account into Dispute & deductions, which owns it until the dispute is resolved. The customer is not chased for an amount they are actively disputing.

Does Atlas write credit memos back to our ERP?

Yes, where write-back is switched on for your company. Atlas writes the credit memo to SAP, NetSuite or Dynamics, reads it back to confirm it landed, and never writes the same change twice.

See dispute management work on your own receivables.

Thirty minutes on your own aging report. You leave with a view of how Atlas would work it, and an honest answer if the sequencing is wrong and you should fix something else first.

Your credit policy, terms, tone and escalation rules are your advantage, and they stay yours. Atlas is configured to the way you run receivables. You are not handing over a playbook or fitting into a template.
