Atlas cash application

Cash application software that reads the remittance for you.

A deposit arrives with a remittance email listing seven invoices, two of them short. Atlas reads it, matches each line, applies the payment, opens the shortfalls as deductions and writes it all back to the ledger. The matches it is not sure of wait for a person.

Where payments come from

Every way a customer pays, applied in one place.

01

Bank deposits

ACH, wire and check deposits from your bank feed, with returns caught and routed.

02

Remittance emails

Remittance advice read from the AR inbox, line by line, including attachments.

03

Portal and links

Payments made through the customer portal or a payment link arrive already tied to their invoices.

Matching

Automated cash application with the confidence shown.

Each match carries how sure Atlas is and why: the invoice numbers on the remittance, the amounts, the customer and the history of how they pay. High-confidence matches apply on their own. Low-confidence matches wait for a person with the candidates side by side.

Exact
Invoice numbers and amounts on the remittance match open invoices.
Partial
A short payment is applied, and the gap opens as a deduction.
Unsure
No remittance, or an amount that fits more than one set of invoices. Held for review.

Each application is its own record: several per payment, a reversal is a new row, nothing is overwritten.

Illustrative data

On the record

Every application is its own record.

Paid, partly applied and unapplied are worked out from the applications, never typed in, so the balance always agrees with what happened.

Several per payment
One payment can be applied across many invoices, and one invoice can take several payments, optionally down to a line.
Reversals
A reversal is a new, negating application. Nothing is edited after the fact.
Visible balances
Every account shows its invoice count, invoice total and balance, so partial payments and credits are clear.
Currencies
A foreign payment carries an FX rate recorded once and frozen. Balances are never added across currencies.
Written back
Applications are written to SAP, NetSuite or Dynamics: read before write, confirmed after, never sent twice.

What runs without anyone

Atlas does the work. You decide what waits.

Cash application runs on its own for matches Atlas is sure of. Everything else waits, with the candidates shown.

Atlas runs on its own. You flag any step for review, and flagged work waits in the Approval Queue for an Approver, Admin or Owner. Charge-off and legal waits for a person on every step.

On its own

  • Reads deposits, remittance emails, portal and link payments
  • Applies high-confidence matches across invoices
  • Opens deductions for short payments
  • Writes applications back to the ERP where write-back is on

Waits for a person

  • Low-confidence matches
  • Payments with no remittance that fit more than one set of invoices
  • Any step you flag for review

FAQ

Cash application, run end to end.

How does Atlas apply a payment end to end?

Atlas reads the payment from the bank feed, the portal or a payment link, reads any remittance advice from the AR inbox, matches each line to open invoices, applies the payment and writes the application back to your ERP. Short amounts open a deduction, and uncertain matches wait for a person.

Can Atlas read remittance emails and attachments?

Yes. Remittance advice that arrives in the AR inbox, in the body or as an attachment, is read line by line and matched to open invoices by number, amount and customer.

What happens when a payment does not match cleanly?

Atlas holds it for a person with the candidate invoices side by side and the reason it is unsure. Once someone picks the match, the payment is applied and written back like any other.

How does Atlas handle partial payments and short pays?

The amount paid is applied to the invoices it covers, and the shortfall opens as a deduction on the account with its own status. The account shows its invoice count, invoice total and balance, so the partial payment is visible at a glance.

Does Atlas handle payments in other currencies?

Yes. A foreign payment carries an FX rate recorded once and frozen, and balances are never added across currencies on screens, in messages or in checks.

Does cash applied in Atlas show up in our ERP?

Yes, where write-back is switched on. Atlas writes the application to SAP, NetSuite or Dynamics, reads the ledger first so it never applies against a stale balance, confirms the result, and never sends the same application twice.

See cash application work on your own receivables.

Thirty minutes on your own aging report. You leave with a view of how Atlas would work it, and an honest answer if the sequencing is wrong and you should fix something else first.

Your credit policy, terms, tone and escalation rules are your advantage, and they stay yours. Atlas is configured to the way you run receivables. You are not handing over a playbook or fitting into a template.
