Atlas collections

Collections management software that follows up every account.

Atlas puts every overdue balance with one agent that works it by email, text and phone, on the sequence, tone and contact hours you set. When the customer replies, promises or disputes, the account moves to the agent built for that, and the follow-up changes with it.

Illustrative data

The agents

Five agents, one account at a time.

Every deployment ships with these agents. Each has its own triggers, sequence, channels and tone, and an account sits in exactly one of them at a time.

Standard follow-up
From three days before the due date. Friendly, by email and text, until 15 days past due.
Collections
From 15 days past due, no reply after five touches, or a rating under 25. Firm, by voice, email and text.
Promise to pay
When a customer commits to a date, or a card declines or a payment returns. Every other channel pauses until the date.
Dispute & deductions
When an invoice is disputed or paid short. Formal, by email, with the evidence attached.
Charge-off & Legal
At 90 days unresolved. Marks the balance for charge-off and prepares the attorney's file, a person releasing every step.

Moving between agents

The account moves. The sequence follows.

Triggers move an account between agents, and when two fire at once the higher-priority agent wins. Paying in full takes it out of every agent. Sequences run per account, not per invoice, so a customer with five open invoices gets one message about all five. On a call, one conversation can move part of a balance to a dispute and the rest to a promise.

15 days past due
Standard follow-up hands the account to Collections.
A promise
Collections hands it to Promise to pay. A second broken promise hands it back.
A dispute
Any agent hands it to Dispute & deductions, which acknowledges it the same day.
A live view of the voice agent. Outbound call with Dan Ortiz of Brightway Retail: the caller is verified, the account's context loads in layers, the agent decides where the call goes, and the action is taken on the call. Illustrative data · seeded, plays the same every time

Rules no agent can change

Dunning software with the rules built in, not bolted on.

01

Contact hours

Calls and texts only between 8am and 9pm in the customer's time zone, whatever an agent's own hours say.

02

AI disclosure

Every call and text says it comes from an AI assistant.

03

Consent

Texts and calls go only to numbers with consent on file. STOP ends that channel at once.

04

Recording

Calls are recorded only with consent; in two-party consent states the call asks first.

05

One touch a day

At most one touch per customer per day, across every agent.

Yours to shape

Build or change an agent by picking options.

  1. 01

    Choose

Template, name, triggers, channels, tone, cadence, contact hours, hand-off, review flags and priority.

  2. 02

    Test drive

Preview every channel's message and see which accounts the agent would take before it is active.

  3. 03

    Activate

The agent takes every account that matches its triggers and that it outranks, at once.

  4. 04

    Edit in place

Preview the accounts that would join, leave or be replanned, then save a new version. Nobody repeats a step.

What runs without anyone

Atlas does the work. You decide what waits.

This is accounts receivable collection that runs without a queue of drafts to approve. You decide which steps wait.

Atlas runs on its own. You flag any step for review, and flagged work waits in the Approval Queue for an Approver, Admin or Owner. Charge-off and legal waits for a person on every step.

On its own

  • Sends each agent's emails and texts and places its calls
  • Reads replies and captures promises and disputes
  • Moves accounts between agents as triggers fire
  • Offers payment plans within the terms you authorize

Waits for a person

  • Payment plans over $25,000, by default
  • Credit holds and any step you flag for review
  • A customer who asks for a person or mentions legal action
  • Every Charge-off & Legal step

FAQ

Collections, run end to end.

How does Atlas run collections end to end?

Atlas puts every customer with an open balance with one agent: Standard follow-up before and just after the due date, Collections from 15 days past due, Promise to pay once a date is agreed, Dispute & deductions when an invoice is contested, and Charge-off & Legal at 90 days. Each agent emails, texts and calls on its own sequence, reads the replies, and moves the account on when a trigger fires, until the balance is paid or properly closed.

Is Atlas a debt collection agency?

No. Atlas is collections software that a company runs on its own receivables, in its own name, with its own customers. It works B2B balances owed to your business and follows contact hours, consent and AI-disclosure rules on every call and text. Balances that never resolve go to your attorney with a complete file.

Can an AI collections agent call our customers?

Yes. The Collections and Promise to pay agents call by voice, only between 8am and 9pm in the customer's time zone and only to numbers with consent on file. Every call identifies itself as an AI assistant, asks for recording consent where the state requires it, and hands off to a person if the customer disputes the debt, mentions legal action or asks for one.

Will customers with several overdue invoices get several messages?

No. Atlas runs sequences per account, not per invoice, and allows at most one touch per customer per day across every agent. A customer with five open invoices gets one message that lists all five.

Can we change the dunning sequence, tone and channels?

Yes. Every agent's triggers, steps, channels, tone, cadence and contact hours are the company's to edit, and new agents are built by picking options and test-driving every channel before they activate. Edits are previewed first, showing each account that would join, leave or be replanned, and saved as a new version.

What does Atlas do when a customer promises to pay or disputes an invoice?

A promise moves the account to Promise to pay, which confirms the amount, date and method in writing and pauses every other channel until the date. A dispute or short payment moves it to Dispute & deductions, which acknowledges it the same day and gathers the purchase order, invoice and proof of delivery.

Does Atlas work with our ERP's open invoices?

Yes. Atlas reads customers, invoices and payments from SAP S/4HANA, NetSuite or Dynamics 365, so the balances it follows up are the ledger's. A payment recorded in the ERP takes the account out of collections, and balances are always computed from the payments applied rather than stored.

See collections work on your own receivables.

Thirty minutes on your own aging report. You leave with a view of how Atlas would work it, and an honest answer if the sequencing is wrong and you should fix something else first.

Your credit policy, terms, tone and escalation rules are your advantage, and they stay yours. Atlas is configured to the way you run receivables. You are not handing over a playbook or fitting into a template.
